Special Part Numbers

When a customer orders special or shop made parts it is necessary to enter a special part number.  There are specific formats that must be used when entering a special part number.  In order to enter a special part number the item ID must start with a period.  This will designate a special to the computer.  Note: you can not use a space or dash in the part number.  After entering the item ID press ENTER and the cursor will move to the description field. You can use up to two lines for the description.  Description has two fields for entering information.  When you have entered the description press ENTER until the cursor has moved to the quantity ordered field.  Enter the appropriate quantity and press ENTER.  Enter the correct price and press ENTER.  The next field is the tax field.  You will usually answer yes to this question; the header information will always override a “Y” answer in this field.  You will enter “yes” for everything except for labor.  Shop labor is not taxed.  When all the correct information is entered select NEXT from the ring menu options to enter the next item ID.

You should always try to make the special item ID similar to the other item ID numbers already in the system.  Even the description should follow a specific format.
